Gurukulya is a school operations platform consisting of Admin Software, Parent App, Tutor App, and Driver (Partner) App. This Privacy Policy explains how we collect, use, store, share, and protect information across the Gurukulya ecosystem. By using any Gurukulya app or service, you agree to the practices described in this policy.

1. Information We Collect

We collect only the information necessary to provide school management and transport services. This may include:

• Student profile information, attendance, class details, academic records, and school-related activity data.
• Parent, teacher, driver, and school staff account information.
• Transport-related information such as bus assignment, route details, trip history, attendance during transport, and live tracking data.
• Communication records, notifications, and service-related logs.
• Device, app, and usage data needed for security, support, and app performance.
• Location data collected through the Partner (Driver) App and related transport features, where required for live tracking and route monitoring.

2. Location Data

The Gurukulya Partner (Driver) App may access foreground location and, when a trip is active or live tracking is enabled, background location to support school transport services.

Location data is used for:

• Live bus tracking and route visibility for authorized users.
• Showing trip progress and location updates to parents and school staff.
• Monitoring transport movement for safety and operational purposes.
• Detecting trip start, trip progress, and trip completion where needed.
• Providing timely arrival or delay updates related to school transport.

Location access is used strictly for transportation and school operation purposes. It is not used for advertising, marketing, or selling user data. When a trip is active or live tracking is enabled, the app may continue to access location in the background so that tracking remains accurate and uninterrupted.

If location permission is turned off on the device, some features such as live tracking, route visibility, bus movement updates, and transport notifications may not work properly.

3. How We Use Data

Collected data is used strictly for school and transport operations, including:

• Managing student attendance and school records.
• Managing school transport, routes, and live tracking.
• Sending notifications and updates to parents, teachers, drivers, and administrators.
• Supporting admissions, fees, exams, leave requests, and other school workflows.
• Improving app stability, support, and overall service quality.
• Maintaining security, preventing misuse, and enforcing access control.

4. How We Share Data

Gurukulya does not sell or rent personal data. Data may be shared only with authorized users connected to the relevant school or institution, such as school administrators, parents, teachers, drivers, and transport staff, based on their role and permissions.

Location data may be visible only to authorized school users and parents who are permitted to view transport tracking information. We may also disclose information if required by law, regulation, legal process, or valid government request.

5. Data Ownership

All student, school, and institution data belongs to the respective school or authorized account holder. Gurukulya acts as a technology provider and processes data on behalf of the institution to deliver the requested services.

6. Data Retention

We retain data only for as long as necessary to provide the service, comply with legal obligations, resolve disputes, maintain transport and academic records, and support school operations. When data is no longer needed, we take reasonable steps to delete, anonymize, or securely archive it as appropriate.

7. Security

We use reasonable administrative, technical, and organizational safeguards to protect data from unauthorized access, loss, misuse, or disclosure. These safeguards may include access control, authentication, encrypted communication where applicable, and restricted access based on user roles.

8. Permissions Used by the Apps

Depending on the app and the features enabled, Gurukulya may request permissions such as location, notifications, camera, storage, or network access. Each permission is used only for the feature shown to the user.

For example:

• Location: Used for live transport tracking, route monitoring, and related school transport operations.
• Notifications: Used to send attendance alerts, trip updates, school notices, and service messages.
• Camera: Used only where required for profile photos, document capture, or related in-app features.
• Storage: Used only where required to upload, download, or save app-related files or documents.

9. Children’s Privacy

Gurukulya is used by schools and institutions to manage student-related services. The platform is intended for use by authorized school staff, parents, teachers, and drivers. We collect student-related information only as needed by the institution to provide school services.

10. Third-Party Services

Gurukulya may use trusted third-party service providers for hosting, infrastructure, analytics, notifications, or other operational support. These service providers are allowed to process data only as needed to provide the service to Gurukulya and are not allowed to use it for their own purposes.

11. Your Choices

You may manage certain permissions through your device settings, such as location access or notifications. However, disabling these permissions may limit or disable some app features, especially live tracking, transport updates, and related school communication features.

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or security practices. When we do, we will revise the effective date on this page.
